The role

Carlisle Support Services is looking for a KPI & Scheduling Coordinator to support a newly mobilised hard FM contract in East London, ensuring effective job scheduling for the engineers, the role will also support KPI tracking for other contracts within out Cleaning and FM division and report on performance across multiple contracts. This role aims to enhance operational efficiency, reduce KPI penalties, and the groundworks for centralised scheduling operations.

Your core role will include but not be limited to the following activities:

•           Develop and maintain detailed schedules for maintenance activities in line with the contractual agreement. 

•           Acknowledge jobs from primary helpdesk and assign them to the relevant engineer to action. 

•           Creation and completion of relevant documentation. 

•           Understand KPI regime of each relevant CSS customer. 

•           Analyse job completion status through use of internal systems. 

•           Coordinate with management team the closure of expiring tasks. 

•           Coordinate with helpdesk, management and engineering teams to ensure best service provision to our customers.

•           Monitor and adjust schedules for emergencies and operational changes. 

•           Maintain accurate records and assist in performance reporting. 

•           Support KPI tracking and analysis across contracts. 

•           Ensure compliance with health and safety company policies. 

•           Utilise internal systems: Work IT, TimeGate, WorkPal, Vantify.

The ideal candidate

•           Experience in scheduling, workforce planning, or operational support (preferably in FM or engineering environment)

•           Strong analytical skills with experience in KPI tracking and reporting. 

•           Excellent organisational and communication skills. 

•           Ability to work collaboratively with multiple teams.

•           Proficiency in scheduling and reporting systems. 

•           Attention to detail and ability to adapt to changing priorities.

 

Successful candidates will be required to provide original documentation for detailed screening and vetting processes. 

This could include the following: passport / driving licence / utility bill dated in the last 3 months / HMRC letter / original bank statement / original payslip / birth certificate / a valid share code.
